What you get
Everything a village office publishes. Nothing it has to learn.
Start with your site. Add meetings, minutes, records requests, permits, payments, alerts or text notices one at a time, when your office is ready, and pay only for what you use. Before any piece starts, we show it to you working on your own demo.
The website
Your site, carried over and made current
We start from your pages, not a blank template. Residents get a site that reads well on a phone; your office gets the same menu it knows.
-
Every page and document moved
Your menu, your page names, every PDF and form. Old addresses forward to the new ones, so no link in an old newsletter or search result breaks.
-
On your .gov
Registered to the village through CISA’s get.gov, at no charge to any US local government. In New York, General Municipal Law 300 requires it of municipalities of 1,500 or more.
-
Readable on a phone
Most residents will look you up on a phone. Every page is laid out for it, with large tap targets and no sideways scrolling.
-
Accessible
Built to WCAG 2.1 AA, the standard in the Department of Justice’s ADA Title II rule, due April 26, 2028 for most local governments. A conformance statement comes with it.
-
Your seal, your colors, your photographs
The site looks like your village, not like a vendor. A small “Site by Public Desk” credit in the footer is the only sign of us.
-
Search that finds minutes
Agendas, minutes and documents are searchable by word, board and date, including the text inside PDFs where it can be read.
Meetings
Notices, agendas and minutes, on the legal clock
The Open Meetings Law sets the deadlines. The desk counts them for the clerk and posts on time.
-
Notice 72 hours out
Time, place and any videoconference location, to the site, the media list and the e-mail subscribers, as Public Officers Law 104 requires. The newspaper copy and the signboard copy come from the same screen.
-
Agenda and packet 24 hours out
The agenda with every proposed resolution, local law and record to be discussed, posted as Public Officers Law 103(e) requires. You add items and attachments; it assembles in your format.
-
The meeting, recorded
A phone on the table, a USB microphone, or the Zoom or YouTube stream you already use. The recording uploads on its own.
-
Draft minutes from the recording
A transcript within hours and a draft of the minutes in your format, marked draft, for the clerk to edit. The board adopts minutes; the software never publishes them as final on its own.
-
Posted inside two weeks
Draft minutes posted marked unapproved, adopted minutes replacing them after the next meeting. Recordings within five business days and kept five years where the board allows videoconferencing.
-
Every board, every year
Trustees, planning, zoning appeals, commissions: one archive by board and date, with the agenda, packet, minutes, recording and transcript side by side.
News, alerts and people
The things residents actually call about
Most calls to a village office are about hours, closings and who to ask. The site answers them.
-
Village news
Dated posts, newest first, each tagged to its department, so a Public Works notice appears on the home page and on the Public Works page.
-
Alerts that expire
Snow emergencies, road closures, boil-water notices: a banner on every page that takes itself down when the time you set has passed.
-
One directory
People, roles, phone numbers and extensions entered once. The home page, the department pages and the contact page all read from it, so a changed number changes everywhere.
-
A page for every department
Court, police, public works, the building department, the pool, the golf course: the same clear layout for each, with hours by season, where, who, what you can do there, forms and its own news.
-
Notices by e-mail and text
Residents sign up once for meeting notices, news or emergencies. Your existing emergency calling service can be linked from the same place.
Applications and permits
Your forms, online, delivered to the right desk
Most villages post permit applications as PDFs to print and carry in. We put the same forms online, without asking the inspector to learn anything.
-
Your forms, as they are
Building, demolition, tree removal, driveway, sign, contractor registration, whatever your department uses, with the same questions in the same order.
-
Plans and photographs attached
Applicants attach drawings, surveys and photos. Nothing is lost between the counter and the inspector.
-
Fee paid with the application
On a hosted payment page, paid by the applicant, with a receipt.
-
Delivered by e-mail
The completed application arrives in the department’s inbox as a clean PDF with the attachments. The inspector works the way the inspector works now.
-
A receipt number to check
Applicants look up where things stand with the number on their receipt, instead of calling the office.
Records requests
FOIL, with the clocks built in
Requests arrive by e-mail, letter and at the counter. The desk keeps one log and counts the business days.
-
A request form and one log
Online requests go straight in; the clerk adds the ones that came by mail or in person in a few seconds.
-
The deadlines, counted
Acknowledgment within five business days, then the records, a denial, or a date certain within twenty business days, as Public Officers Law 89(3) sets out.
-
Fees and appeals
Your fee schedule on the page, and a log of appeals and their outcomes for your records access officer.
Payments
Fees paid online, with the receipt the law requires
Keep the processor you have and we link to it, or use ours.
-
A hosted payment page
Water, permits, dog licenses, parking, recreation: the fees you choose. Card and bank data never touch your site, which keeps the village’s PCI scope to Self-Assessment Questionnaire A.
-
Paid by the payer
2.65% with a $3 minimum by card, $1.50 by e-check, paid by the person paying. Nothing is charged to the village, and the fee goes to the processor, not to us.
-
The GML 5-b receipt
Every tax-type payment gets the confirmation number, date and time that General Municipal Law 5-b requires.
The code and the financials
Everything the law asks you to post, where it belongs
The statute names what must be posted. Each item has its own place on the site, dated, so a missing one is obvious to the clerk before it is obvious to anyone else.
-
Code and local laws
A link to your code on eCode360, with local laws adopted since the last supplement posted beside it. Or we host the code; the text belongs to the village.
-
Budget, annual report, audit, multiyear plan
The four documents in General Municipal Law 30(7), each with its own slot, and a reminder when the annual financial report is filed with the Comptroller.
-
Tax rolls, assessments, reports
Everything else you publish, grouped the way a resident looks for it.
The clerk’s side
One screen, not a platform
There are no settings pages and no training course. The clerk sees this week’s deadlines and a box to post things.
-
This week
Notices, agendas, minutes and records requests due, in date order, each with what is left to do.
-
Post anything
Write it, pick where it goes, press post. It is on the site, the department’s page and the e-mail list at once.
-
Or post by e-mail
Send it from your own village address to your desk address. Only addresses you approve can post, we check it is really you, and every post is logged.
-
A login for each person
The clerk, the deputy, the building department. Every change is logged with who and when, and the log comes with your exports.
Ownership and support
It stays yours, and someone answers
The records belong to the village. The site is run by people you can call.
-
Exports, any day, free
Every agenda, minute, recording, request and payment record exports as plain files with one click. No ticket, no window, no fee.
-
Leave on thirty days’ notice
With a full export, and the site kept up for sixty days after the term so you can move it.
-
Help when you want it
A short call to show whoever posts how the desk works, and a person to call after that. For a big change, a new section or a reorganized menu, tell us and we make it.
-
When you need something new
Ask us. The next process is built around how your office already works, and added to your plan only when you want it.
Start with your site. Add the rest when you’re ready.
Priced to what you use, and under your bid threshold. No setup fee and no increase written in.
